Plan ahead with this simple list!
Time Ahead   Task
Up to 6 Weeks    Decide on tone & atmosphere.
Choose a party format - Seated Dinner, Buffet, Cocktails
6 Weeks Choose or create invitations.
Note: Engraved or printed invitations can take up to 4 weeks!
3-4 Weeks Finalize guest list
Consider helper options; communicate expectations; divide and delegate
  • Co-hosts, committee members
  • Caterers
  • Household staff
2-3 Weeks Send out invitations
2 Weeks Plan menu and determine:
  • Advance cook items
  • Last minute/same day preparation
1-2 Weeks Create shopping list (don't forget to include the Boursin®)
  • Buy ahead for pre-cooked items; pantry items
  • Last minute/freshest possible items to purchase later
Pre-cook as many dishes as possible and freeze
Plan place settings and décor.
Note: Rental orders need to be placed at least a week in advance.
1 Week Order platters, cakes, and flowers as applicable.
Accept RSVPs, establish guest count
Call non-responders if necessary for catering head count
Calculate beverage needs: pick dinner wines and purchase items for the bar.
1-2 Days Ahead Clean and tidy house
  • Set the table for the party or plan buffet table/dishes and arrangement
  • Check glasses, pitchers and silverware for spots, dust
Shop for the remaining items on your list including the fresh groceries and Boursin. Remember, each package of Boursin serves approximately six guests, so make sure you buy enough!
Maximize your refrigerator and freezer space
Same Day Prepare/plate foods, hors d'oeuvres, desserts
Buy ice
Pick up or arrange delivery of platters, flowers, cake, any last minute perishable groceries
3-4 Hours Ahead Prepare kitchen
  • Clear counters
  • Empty dishwasher
  • Clean and put away pots and pans
2 Hours Ahead Freshen/cool house or apartment by opening windows or turning up air conditioning
Shower, dress, and have a glass of wine!
1 Hour Communicate with hostess helpers any last-minute instructions
30 Minutes Set lighting, music and light candles to set the mood.
Set out cheese platters ... especially the Boursin which is served best at room temperature.
Open red wines
Pre-heat oven for hot appetizers
